Job Description –Event Coordinator – 7 th Annual Traditional Foods Conference
Job Summary
The Traditional Foods Conferences started in 2008, making this years’ event the 7 th Annual gathering. The gathering incorporates four parts of Traditional Foods: Health/Nutrition, Safety, Healing, and Community and with a strong emphasis on Indigenous science/knowledge. The details of the gathering come from community consultation and community direction. We are currently looking for a host community and coordinator to partner with the VICCIFN (Vancouver Island and Coastal Communities Indigenous Foods Network). The job of the Coordinator is to coordinate the activities of the conference with direction from community and VICCIFN, including consulting with community about gathering details and incorporating their feedback into all aspects of the conference.
The coordinator position will require the community member to seek support and engage interest from their host community. Strong working relationships and community connections will be an important asset.
Term: May 2014-October 2014 on a part-time basis to be discussed at interview. (Approx 10 hours per week to start and closer to full time at the time of the conference in late September.)
Duties and Responsibilities
• Coordinating , leading and attending TFC gathering planning meetings with the VICCIFN Conference Subcommittee (including conference logistics, budgetary planning/accountability, conference agenda, etc. )
• Working closely with the Subcommittee to develop conference agenda and plan including a youth specific and community engagement plan.
• Support and plan for the inclusion of cultural protocols, greetings, prayers and greeters as per host community.
• Promotion and advertising of conference among Vancouver Island and Coastal First Nation Communities and former conference participants.
• Attend community events as requested by partners to promote the event and to gather community requests.
• Coordinate rental/use of facilities for the event along with working group.
• Coordinate and manage the conference registration. Support Island-wide inclusion and representation with a greater focus in host area.
• Coordination of display tables for conference community day.
• Organize the capturing of the event film, photo and print.
• Organizing agenda and publication materials for conference day and follow up report.
Job Specifications:
Education and Training
• Relevant experience and knowledge in Aboriginal communities and culture Aboriginal focused approach to health promotion and community development.
Experience
• Previous experience working and organizing large community events
• Minimum of three years experience working in community
• Connected or Knowledge of local resources for this type of event
Skills and Abilities
• Positive and effective oral and written communication skills: problem solving, record keeping, report writing,
• Confident abilities with Microsoft word and templates for registration such as Excel or similar program
• Organization and facilitation skills: ability to recruit and manage volunteers
• Ability to organize and coordinate own schedule, set priorities and work with minimum supervision
• Skills in working together with and in community
• Ability to collaborate and work well many people and groups
• Ability to communicate respectfully and effectively
• Ability to establish trust with communities and partners
• Conflict resolution skills

- Able to work flexible working hours
- Must possess a valid BC drivers license and have access to a reliable vehicle
